ABOUT THE ROLE

The Startup and Warranty Inside Sales position will work alongside the service coordinator, service technicians, and our outside sales staff to ensure Startup and Warranty-related parts identification, quoting, follow up, ordering, and warranty returns are processed in a thorough, timely, and consistent manner.


WHO ARE WE LOOKING FOR

We’re looking for a highly organized, detail-driven professional who thrives in a fast-paced service environment and takes ownership of accuracy from quote to job close-out. The ideal candidate communicates clearly with technicians, customers, and sales teams, understands the urgency of keeping field technicians productive, and approaches upselling with integrity and transparency. This role is best suited for someone who is proactive, process-minded, and motivated to continuously improve how parts, orders, and service operations flow across the organization. This individual must be comfortable speaking directly to customers and coworkers via phone, in person, email, and text. Your ability to bring a positive attitude into these situations will lead to your success in this position.


RESPONSIBILITIES

  • Parts & Inventory Management
    • Identify required parts for service work and manage part transfers between warehouses
      and service technician trucks
    • Own service technician truck stock inventory, ensuring accuracy and coordinating
      replenishment with Purchasing
    • Monitor open sales orders with the warehouse staff to ensure order accuracy and
      cleanliness
    •  Coordinate and communicate parts logistics to ensure materials are shipped to logical,
      convenient job/home/office locations
  • Quoting, Sales Orders & Customer Engagement
    •  Create quotes and actively engage customers through clear, professional dialogue
    • Collaborate with service technicians to verify quoted items and collaborate with outside
      sales on pricing and approach strategies
    • Create and process sales orders, including customer follow-up throughout the order
      lifecycle
    • Responsibly upsell by presenting technician-verified needs with transparent options and
      pricing
  • Billing, Warranty & Order Close-Out
    • Process warranty claims, including coordination of defective or incorrect part returns to
      manufacturers for reimbursement
    • Process service billings upon job completion, ensuring accuracy of parts and charges e
  • Cross-Functional Coordination & Continuous Improvement
    •  Work closely with the service coordinator, technicians, warehouse staff, purchasing,
      and outside sales to ensure smooth job execution
    • Consistently review processes and procedures, recommending improvements to
      increase efficiency and accuracy
    • Perform additional duties as assigned in support of service operations

REQUIREMENTS

Strong Computer Skills in Outlook, Excel, Word, Adobe PDF, File Transfer and Management; Ability to Multi-Task, Deadline Oriented, Detail Oriented, Strong Written and Verbal Communication Skills, Strong Organizational Skills, Strategic Planning Skills, Strong Desire to Learn and Take on Responsibility
